The process for condition assessments

Condition assessments have four simple steps. 

  • Site visit

    We visit your building and do a limited inspection on a sample of building services. Usually, we don’t check every piece of plant and equipment because most condition assessments are conducted within a week to 10 days, and don’t allow time for a comprehensive investigation. We check services in ceiling spaces and plant rooms. We can, however, if required complete a more comprehensive review of the installed systems.

  • Audit equipment, identify risks and assess condition.

    As part of our inspection, we:


    Make a note of any areas unsafe to access.

    Make a note of any building services that pose a safety risk. 

    Make a note of any services about to fail.

    Make a note of any leaks. 

    Identify building services equipment installed.

    Assess how well it has been maintained. 

  • Estimate expected lifespan and replacement costs.

    We refer to the maintenance guide produced by the UK Chartered Institute of Building Services Engineers (CIBSE), which gives expected life for different types of plant and equipment to estimate the life span of your equipment. We also estimate high level budgets to replace existing plant. 

  • Produce condition assessment report.

    Your report has 3 parts:


    An executive summary that calls out any high-risk issues.

    A summary of the issues we've identified, and our view on the longevity of the plant.

    A table that identifies when plant and equipment will require replacement, estimating replacement value. 


    This identifies your spend as:


    Immediate action.

    Short term action within one to two years.

    Medium term action within two to five years.

    Long term action within five to 10 years. 


    A condition assessment forms the basis for a detailed maintenance plan.

  • What building services do you assess?

    We assess a wide range of building services including:

  • What information do you need to start doing a condition assessment?

    This does vary a bit but as a minimum we would like copies of the following documents before we come to your site. This helps us to be more efficient on site and to do the best assessment for you:

    Current Building Warrant of Fitness (BWOF).

    Operating and maintenance manuals for the installed systems.


    Record drawings for the installed systems.

    Maintenance logs, particularly logs showing repetitive issues or faults, as this can identify areas or systems at risk of failure.
